What we commit to, and what we expect from you.
A contract worth reading is a contract we can keep. If a sentence here strikes you as murky or one-sided, tell us — we’ll rewrite it.
Version of October 30, 2026
In short. You use Remanso on behalf of an organization. The records you put in stay yours, you can export them at any time without asking us, and you can leave without penalty.
On our side: our pricing is published, and nothing will be billed to you without your explicit agreement. The trial does not quietly turn into a subscription.
What these terms cover
They govern your use of Remanso: the site, the application and the services attached to them. Creating an account means accepting them.
Everything about your personal information — what we collect, where it lives, for how long, and your rights — is handled separately in our privacy policy, which forms part of these terms. We don’t repeat it here: two texts describing the same thing end up contradicting each other.
Who Remanso is for
Remanso is for any organization that plans activities or services for the public, whatever its legal form or size. Municipalities, non-profits, clubs, activity schools, camps, childcare services, community centres, libraries, residences, co-operatives and recreation businesses: these examples exclude no one else. If your organization plans activities for people, it belongs here.
The one limit is this: Remanso isn’t designed for personal use. It coordinates a team’s work with people, not a private calendar.
By opening an account in an organization’s name, you confirm you have the authority to bind it. If you don’t, please don’t — ask the person who does.
You must be of legal age to open an account.
Your account
- One email address, one account. That’s a technical limit as much as a rule: the service refuses a second signup with the same address.
- Your account is yours alone. Don’t share your credentials — the record of a change carries the name of the person signed in, and a shared account makes that record worthless.
- Tell us if you suspect someone else is using your account, at conditions@remanso.ca.
The twenty-one-day trial
The trial runs twenty-one days, with no credit card and no commitment. Setup and configuration are done by us.
It is meant for one organization, once. So we limit one trial per organization and per email address, and the service recognizes variations on the same organization name. This isn’t suspicion: it is what lets us offer a full twenty-one days with setup included, rather than a seven-day demo.
If your situation is unusual — two separate entities, a merger, a trial interrupted by something out of your hands — write to us. We gladly extend when the request is made in good faith; we have never refused one.
After the trial, and the price
Our pricing is published — the rate and add-ons, the grid is here. You don’t have to call us to find out the price. What follows holds either way:
- The trial does not automatically become a paid subscription.
- If the price we put to you in writing includes an offer — for example guided setup offered — that offer is part of the agreed price: it holds for the term of the agreement and is not claimed back afterwards.
- Nothing is billed without your explicit agreement, given after we have put the price to you in writing.
- When the trial ends, if you don’t continue, your records stay recoverable for the period set out in the privacy policy. Nothing disappears overnight.
How the price is worked out, and how it is paid
- A graduated rate. The first ten people tracked are free; the next ones cost the rate of their band, published on the pricing page, and each band applies only to the people who go past it. Beyond 600 people tracked, the price is on quote.
- The month’s average headcount. The number of people tracked used for the calculation is the day-by-day average of the month that has just ended; the next month’s bill follows from it, taxes extra. For the first month it is the headcount at the time of the agreement. An archived person stops counting from the day after they are archived; a sample person never counts.
- The credit card. It is requested at the time of the agreement — never during the trial or on the free plan — and stored by our payment provider, never by us. You can replace it at any time from the subscription screen; you cannot remove it while your agreement is in force. To stop paying, withdraw your agreement or ask for the account to be closed.
- The invoice payable within 30 days is another way to pay, for organizations that cannot pay by card: no card is then requested, and the average headcount is counted the same way.
The free plan
The free plan is permanent: up to ten people tracked, $0 a month, no credit card, no end date. It includes People and qualifications, Activity planning, Registers and checks, and Evaluations, along with the export of your data. It does not include the Notepad, card reading, digital signage, Android devices, Staff schedule, Inventory and requests, Session plans or Hiring interviews.
Adding an eleventh person means choosing a paid plan first. Nothing you have already entered becomes read-only as a result.
We may change what the free plan includes going forward; you are told by email before the change takes effect, as with any change to these terms. We never delete your data for that reason, and the full export stays available at any time. The free plan does not take a place in the founding offer below.
The founding offer
The first thirty organizations to agree to the founding offer pay $7.50 per person tracked, per month, all inclusive: every module and every add-on (Staff schedule, screens, Android devices), setup waived. Taxes are extra. The price holds for twelve months from the date of the agreement.
- Whichever is lower. If the rate’s price for your organization, with its add-ons, costs less than $7.50 per person tracked, you pay that amount instead. The offer never costs more than the published price.
- Up to 600 people tracked. Beyond that, the price is on quote, as it is today.
- The month’s average headcount is counted at each renewal, and the next month’s amount follows.
- After the twelve months, the published rate, with its add-ons, takes over. We write to you sixty days before that date.
Your agreement to the founding offer is your agreement to this formula, given in writing: it stands in for the price put to you in advance, and nothing is billed before it. The end of the twelve months is agreed from that moment; it is not an increase decided later. You can step out as you can today, with no notice and no penalty, with your data.
Your data is yours
The records your organization puts in — the people, the qualifications, the schedules, the files you upload — belong to it. We process them on its behalf and acquire no ownership of them.
We grant ourselves only what running the service requires: hosting them, displaying them, backing them up, and sending them to the people you authorize. Nothing beyond that. We don’t use them to train a model, build a derivative product, or resell them — that isn’t a marketing promise, it’s a limit you can hold us to.
A full export is available at any time from inside the application, with no request needed, even when the subscription is read-only. An administrator of the organization downloads, under Export data, a .zip archive holding one CSV file per table and the uploaded documents as they were; only secrets are left out, such as passwords, tokens and PINs. Each person can also download, under My data, what the organization holds about them; what that archive contains and what it leaves out is described in the policy. The detail is in the privacy policy. You don’t have to write to us to retrieve your data.
What you agree not to do
- Put information about people in Remanso without being authorized to, or beyond what your organization has the right to collect.
- Try to reach another organization’s data, or work around the separation between organizations.
- Probe, overload or disrupt the service, or degrade it for others.
- Resell, sublease or redistribute access to the service without our written agreement.
- Store unlawful content, or use Remanso for an unlawful purpose.
What stays your responsibility
Remanso tracks qualifications; it certifies none. When the application shows a certification as valid, it is reporting what your organization entered — not a check we performed with the issuing body. Deciding to put a person in charge of an activity, and the legal duty to make sure they are qualified, remain entirely yours.
The same goes for expiry reminders: they are useful prompts, not a guarantee. A reminder can fail to arrive — an email gets lost, an address changes. Your duty to track expiry dates does not transfer to a piece of software, and it would be dishonest to let you believe otherwise.
You also remain responsible for the accuracy of what you enter, and for meeting your own legal obligations toward the people whose records you keep.
What we commit to
- Keeping the service working and fixing what breaks.
- Answering you. An email question gets an answer from a person, in your language, within two business days.
- Telling you beforehand, never after, when a change affects your rights, your data or the price.
- Letting you leave cleanly, with your data, without friction or manufactured delay.
What we don’t promise
The service is young, and we prefer an honest sentence to a decorative guarantee: we do not promise an uptime figure yet. We don’t have the monitoring that would let us stand behind one, and a number announced without measurement is worth nothing. When that monitoring exists, this section will change and you will be told.
The service may go down for maintenance. We announce it in advance when it’s planned, and we tell you what happened when it wasn’t.
Suspension and ending
On your side: you can stop whenever you like. Export your data, then ask us to close your account by email at confidentialite@remanso.ca — the close-account button in settings doesn’t exist yet, and the privacy policy says so. No notice, no penalty.
On ours: we suspend access only for a reason listed above, or where the law requires it. Except in a security emergency, we tell you first and leave time to put things right and retrieve your data.
If we ever stopped operating Remanso, you would be told at least ninety days in advance, with your exports available throughout.
Liability
We answer for our own faults. We don’t answer for the consequences of inaccurate data you entered, of a decision you made, or of an outage in a service we depend on and don’t control.
Our liability toward your organization is limited to the amounts you have paid us over the preceding twelve months. During the trial, and on the free plan, those amounts are nil — that is the frank trade-off of a free service, and one more reason to keep your own copies.
Nothing here sets aside a liability the law does not allow to be set aside.
When these terms change
The date at the top is the version in force. A change affecting your rights, your obligations or the price is announced by email before it takes effect. If a change doesn’t suit you, you can leave with your data, at no cost.
Version history
The dates are those of the text’s modification.
- October 30, 2026 — Pricing follows a graduated per-person rate (ten people free, then bands), calculated on the month’s average headcount; the credit card and the invoice payable in 30 days are clarified. The version date had not been updated when that change was made: it is now. Closing an account is described in one way only, by email, with no button in service. The operator’s identity and this history are added.
- October 19, 2026 — The free plan (ten people) and the founding offer (the first thirty organizations, $7.50 per tracked person per month, twelve months).
- October 16, 2026 — An offer included in the price communicated in writing is part of the agreed price.
- October 12, 2026 — Prices refer to the pricing page’s grid; the complete export without a prior request and closing the account by email are clarified.
- September 13, 2026 — First publication.
